Karen from Calm and Organised recognises the importance of keeping our existing and potential clients data and personal information safe and secure.  This privacy policy has been produced to provide our clients with information regarding the type of information we collect, how we process it and how we ensure it is stored safely and securely.

Karen from Calm and Organised will never share or sell information about you to any third parties without your prior consent, or unless we are required to do so by law.

Karen Williams is the owner of Calm and Organised and is a sole trader.  Karen is solely responsible for keeping our client information safe and secure.  

Karen Williams (Calm and Organised) is registered with the ICO (Information Commissioners Office) for data protection.  Our registration number is ZB463821.  Karen Williams also has an enhanced certificate from DBS, number 001782332558.

 

The types of personal information Calm and Organised collects 

Calm and Organised may collect and process the following client and prospective client information.   

  • Names – first name, surname, title, marital status

  • Addresses – home, billing or business addresses

  • Telephone numbers – home, business and mobile numbers

  • Email Addresses – home or business email addresses

  • Social media and online digital addresses that you wish to share

  • Marketing information – this may include the reasons for enquiring/requiring the services of Calm and Organised, preferences for receiving marketing communications and communication preferences

We only collect the minimum amount of information required in order to be able to make appointments with you, visit you in your home or meet with you online for a virtual appointment.

Photos

Before we commence working with you, Calm and Organised will ask whether you give consent for “before” and “after” digital photos to be taken.  Your consent to photos being taken and used by Calm and Organised on the Calm and Organised website and/or social media platforms will be given in the Photography Consent document.

For any photos used, care would be taken to ensure that the images did not contain factors which would identify you and no photos or images will be taken or shared without your clear consent.

 

Marketing Communications

Our lawful ground of processing personal data to send you marketing communications is either your consent or our legitimate interest (namely to grow our business)

[Under the Privacy and Electronic Communications Regulations, we may send you marketing communications from us if (i) you made a purchase or asked for information from us about our goods or services or (ii) you agreed to receive marketing communications and in each case you have not opted out of receiving such communications since. Under these regulations, if you are a limited company, we may send you marketing emails without your consent. However you can still opt out of receiving marketing emails from us at any time

Before we share your personal data with any third party for their own marketing purposes we will get your express consent.

Sensitive Data

We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. We do not collect any information about criminal convictions and offences.

Most of the personal information Calm and Organised process is provided directly by the client or prospective client via the following methods:

  • Website enquiries

  • Email enquiries

  • Social media enquiries

  • One to One organising, decluttering or other related service consultations (in person or via virtual online meetings)

Why Calm and Organised have and use personal information?

Calm and Organised use information collected from clients for the following reasons:

  • Arranging initial consultation meetings

  • Visiting you at home for face-to-face appointments

  • Meeting online for a virtual organising appointment

  • Invoicing for services

  • Managing payments from you

 

Disclosures of your personal data

We may have to share your personal data with the following parties:

  • Service providers who provide IT and system administration services

  • Professional advisers including lawyers, bankers, auditors and insurers

  • Government bodies that require us to report processing activities

  • Social media scheduling tool apps/sites in order to fulfil our contractual obligations with you

We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions

 

How Calm and Organised store your personal information 

Calm and Organised store client information securely on electronic devices such as an Iphone and/or laptop.  Such devices are password protected and have added protection from software manufacturers Microsoft Office and Apple.

In addition, Calm and Organised has anti-virus software McAfee. 

Should any suspected data breach occur, Calm and Organised have procedures in place to deal with this and will notify you and any applicable regulator of a breach if we are legally required to.

 

Data Retention

GDPR requires that personal data is held only for a reasonable amount of time.  Calm and Organised will therefore only retain personal data for 2 years after our last communication.

For tax purposes, the law requires us to keep basic information about our customers for up to a maximum of 7 years after you cease being our customer

We will then dispose of your information securely.

 

Your data protection rights

Under data protection law, the client has rights including:

Your right of access – You have the right to ask Calm and Organised for copies of your personal information. 

Your right to rectification – You have the right to ask Calm and Organised to rectify personal information you think is inaccurate. You also have the right to ask Calm and Organised to complete information you think is incomplete. 

Your right to erasure – You have the right to ask Calm and Organised to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask Calm and Organised to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that Calm and Organised to transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, Calm and Organised have one month to respond to you.

If the client has any concerns about how Calm and Organised uses their personal information, the client can make a complaint to Calm and Organised with Karen at karen@calmandorganised.co.uk.

Changes to this Privacy Policy may be made periodically.  This may be due to changes in the law or if Calm and Organised change their business in a way that affects personal data protection.
